As such, we are looking for a competent and highly organised administrator to join our client's Facilities function.

About The Role

The main purpose of this role is to look after both reactive and planned maintenance administration duties across two offices and warehouses.

Specific Responsibilities

  • Collaborate with line managers and other team members to prioritise and complete tasks in a timely manner, while ensuring the best possible cost efficiency.
  • Reduce the number of outstanding jobs on our online scheduling tool, Trello, by diligently following up and ensuring their completion within the system.
  • Respond promptly to internal and external emails, maintaining effective communication.
  • File compliance administration documents accurately to ensure regulatory requirements are met and maintain both physical and electronic files.
  • Place purchasing orders promptly to ensure timely delivery of required items.
  • Collate and log jobs received via email and phone onto our electronic log, ensuring accurate and up-to-date records.
  • Allocate jobs to the maintenance team with the support of the Facilities Manager.
  • Organise and schedule contractor visits coordinating with external companies as needed.
  • Request quotes from contractors, ensuring the best prices are obtained.
  • Update our electronic job portal with information from contractors, the maintenance team, and the facilities manager.
  • Organise and schedule calls, tasks, meetings, and other activities for the facilities team as required.

The person

  • Competent in typing 60 words per minute.
  • Excellent planning and organisational skills to manage multiple tasks and deadlines effectively.
  • Strong customer service skills.
  • Keen attention to detail to ensure accuracy and precision in all tasks.
  • Experience using online scheduling tools such as Trello/Jira for task management (highly desirable)
  • A proactive and resilient attitude, displaying a can-do approach to overcoming challenges.
  • Strong problem-solving skills and the ability to make informed decisions independently.
  • Excellent written and verbal communication skills to convey information clearly and effectively.
  • Familiarity with compliance and regulatory requirements in facility management is (highly desirable)
  • Proficiency in using Microsoft Office Suite and other relevant software applications.

Training Coordinator

About The Role

After a recent successful placement with a highly valued client, Capella Professional are delighted to have been nominated to source additional talent to join their office/ admin function and expand their ranks once again. Our client is a highly successful and tight-knit organisation who are offering the rare opportunity to work in tandem with the business directors.

Due to unprecedented success, they are expanding and looking for a dedicated and creative professional to join their team.

The key aspect of this role will be to eliminate the pressure and workload off the directors by supporting them with day-to-day projects and administration tasks.

This is predominately a remote working role, however once or twice a week you will be required to attend a weekly meeting face to face and regular online teams video calls.

Specific Responsibilities

  • Working closely with company director who is also delivering the training - producing an analysis of course attendee's results and sharing feedback with the relevant party.
  • Checking in with company director on a monthly and yearly basis to ensure courses are running smoothly.
  • Managing the diaries of the directors and senior employees and organising regular company meetings and planning training.
  • Ensure company's digital folders are organised and kept up to date.
  • Rebrand training material/presentations- be creative when branding the training course material and ensure to stay consistent with company branding (creative PowerPoint experience required).
  • Ensure effective document control responsibilities by scanning and updating literature in an efficient manner.
  • Liaising with company directors to ensure they're kept up to date with important tasks and deadlines.
  • Booking and arranging travel, transport, and accommodation for company directors and course trainers.
  • Managing incoming queries and distributing to the relevant contacts within the business.
  • Effectively act as 'middleman' between your employer and their client.
  • Portray the business in a positive and professional manner - you will be the first port of call for most incoming queries.
  • Act as course invigilator during assessments.
  • Ensuring company remains compliant in able to secure relevant industry accreditation's.

About you

  • Strong administration experience and diarising skills
  • Experience in a similar role or Personal Assistant role
  • Attention to detail in all work duties
  • Creative and proactive mindset
  • Excellent organisation and people management skills
  • Ability to prioritise and multitask efficiently
  • Strong communication and computer skills
  • Proficient in Microsoft packages.

Working hours - 8:00am-4:30pm Monday - Friday (full time)

About The Role

Our highly valued and long-term client are expanding due to continued growth and are looking for a competent administrator to join their facilities operation based in Huddersfield.
The main purpose of this role is look after both reactive and planned maintenance admin duties across several offices and warehouses.

Specific Responsibilities

  • Collaborate with line managers and other team members to prioritise and complete tasks in a timely manner, while ensuring the best possible cost efficiency.
  • Reduce the number of outstanding jobs on our online scheduling tool, Trello, by diligently following up and ensuring their completion within the system.
  • Respond promptly to internal and external emails, maintaining effective communication.
  • Maintain both physical and electronic files accurately.
  • File compliance administration documents accurately to ensure regulatory requirements are met.
  • Place purchasing orders promptly to ensure timely delivery of required items.
  • Collate and log jobs received via email and phone onto our electronic log, ensuring accurate and up-to-date records.
  • Allocate jobs to the maintenance team with the support of the Facilities Manager.
  • Organise and schedule contractor visits coordinating with external companies as needed.
  • Follow up on necessary work to ensure compliance, including the maintenance of appropriate certification.
  • Request quotes from contractors, ensuring the best prices are obtained.
  • Update our electronic job portal with information from contractors, maintenance team, and facilities manager.
  • Organise and schedule calls, tasks, meetings, and other activities for the facilities team as required.

The person

  • Excellent planning and organisational skills to manage multiple tasks and deadlines effectively
  • Competent in typing 60 words per minute.
  • Strong customer service skills.
  • Keen attention to detail to ensure accuracy and precision in all tasks.
  • Experience using online scheduling tools such as Trello/Jira for task management (highly desirable)
  • A proactive and resilient attitude, displaying a can-do approach in overcoming challenges.
  • Strong problem-solving skills and the ability to make informed decisions independently.
  • Excellent written and verbal communication skills to convey information clearly and effectively.
  • Familiarity with compliance and regulatory requirements in facility management is (highly desirable)
  • Proficiency in using Microsoft Office Suite and other relevant software applications.
